How to Prepare Equipment Pickup for Your Kitchen
A commercial reach-in refrigerator, range, prep table, or ice machine is not a curbside parcel. It is a heavy, business-critical asset that has to clear doorways, survive loading, arrive without damage, and get positioned without holding up service. A little preparation before the truck arrives prevents the costly problems: a carrier that cannot access the building, a unit that will not fit through the door, or equipment damaged because it was moved the wrong way.
Knowing how to prepare equipment pickup gives your team, your carrier, and your installer a clear plan. Whether you are collecting a replacement unit from a warehouse, arranging freight for a new buildout, or moving used restaurant equipment out of a closing location, start with the physical path the equipment must travel - not just the product dimensions.
Confirm What Is Being Picked Up
Before scheduling a pickup, confirm the exact model number, quantity, condition, and accessories included. This sounds basic, but commercial equipment orders can include stands, casters, shelves, compressor components, splash guards, legs, or a separate crate of hardware. Make sure everyone involved is working from the same item list.
Ask for the packaged dimensions and shipping weight, not only the equipment's operating dimensions. A refrigerator may fit its final location with room to spare but arrive on a pallet or in a crate that is wider and taller. The packed size determines what truck, dock, doors, ramps, and handling equipment you need at pickup.
Also verify whether the unit must remain upright. Most refrigeration equipment should stay upright during transport to protect the compressor and refrigerant system. If a carrier has to tip a unit briefly to move it through a tight opening, ask the manufacturer or seller for handling guidance and allow the recommended standing time before powering it on.
Measure the Full Route, Not Just the Kitchen
The most common pickup mistake is measuring the final kitchen space but overlooking the route between the truck and that space. Walk the path in person, ideally with your contractor, facilities manager, or the person receiving the equipment.
Measure every restriction: loading dock opening, gate, hallway, elevator, exterior door, interior door, turns, ramps, and the final installation area. Include the height of door closers, low ceilings, hanging signs, and sprinkler lines. A piece of equipment that clears a doorway straight on may not make the turn immediately after it.
For ground-level delivery or pickup, inspect the pavement as well. Dollies and pallet jacks do not move well over loose gravel, broken concrete, deep thresholds, or steep grades. Wet surfaces create another issue, especially with heavy refrigeration. If the route is unsafe or too narrow, solve it before pickup day. That might mean removing a door, reserving an alternate entrance, using a larger access point, or scheduling professional rigging.
Check Floor Capacity and Final Clearance
Weight does not stop mattering once the equipment comes inside. Large freezers, ice machines, ranges, and combination ovens can put significant point loads on a floor. This is especially relevant for upper floors, older buildings, rooftop kitchens, and temporary event spaces. When there is any doubt, have a qualified contractor verify the floor and installation requirements.
Leave service clearance around refrigeration and cooking equipment. Packing a unit tightly into its opening may look clean, but blocked airflow and inaccessible service panels make future repairs harder and can affect performance. For gas, water, drainage, electrical, and ventilation connections, confirm the utility locations before the pickup is scheduled.
Match the Pickup Vehicle to the Load
Do not assume a pickup truck and a few strong employees are enough. Commercial equipment is awkward, top-heavy, and easy to damage at the corners, doors, hinges, and compressor housing. The right vehicle depends on the equipment's packaged weight, dimensions, and loading method.
A dock-height box truck may be appropriate for palletized equipment when both pickup and delivery locations have docks. A liftgate truck is often the better choice for locations without one. For oversized, especially heavy, or high-value equipment, a freight carrier with the proper tools and insured handling may be worth the added cost. It depends on the route, not just the product price.
Confirm the truck's payload capacity, interior height, tie-down points, and ramp or liftgate rating. A liftgate must be rated for more than the loaded piece and the handling equipment used with it. If several items are moving together, account for total weight distribution. A truck can be under its overall payload limit and still be loaded poorly enough to create a safety problem.
If you are sending your own carrier, provide the pickup contact, address, available hours, order number, and any warehouse instructions in advance. Ask whether an appointment is required and whether the facility can load the truck. Some locations have loading docks and forklifts; others provide pickup only and require the carrier to handle the load.
Bring the Right People and Handling Equipment
A safe move starts with the correct equipment. For a typical commercial pickup, that may include a rated appliance dolly, pallet jack, moving blankets, corner protectors, ratchet straps, shrink wrap, gloves, and a ramp or liftgate when needed. Equipment still on a pallet should normally be moved with a pallet jack or forklift, not dragged or lifted by hand.
Use enough trained people for the job. A heavy piece should never be balanced on a dolly by one person while another tries to control a door or clear an obstacle. Assign roles before moving: one person directs the route, one controls the load, and others manage doors, ramps, or spotters. Keep customers, employees, and bystanders out of the travel path.
Avoid using appliance doors, handles, control panels, or drain connections as grip points. Secure movable parts first. Remove loose shelves when appropriate, tape doors closed with a non-damaging material, and protect exposed stainless corners. Never place heavy equipment directly against another unit without padding between them.
Inspect Before It Goes on the Truck
Pickup is the best time to document condition. Before loading, compare the equipment against the paperwork and inspect the exterior, doors, glass, casters, power cord, controls, and included components. For used equipment, note existing dents, scratches, missing parts, or obvious damage in writing and take clear photos from multiple angles.
For new equipment, inspect the crate or packaging for punctures, crushed corners, moisture, or signs of a hard impact. If there is visible damage, do not simply load it and hope for the best. Record it on the delivery receipt or bill of lading, take photos, and contact the seller before leaving when possible. “Subject to inspection” is less useful than a specific description such as “carton crushed on rear lower corner, possible cabinet damage.”
Verify that you have the invoice, pickup release, bill of lading if applicable, warranty information, and any installation documents. The person collecting the equipment should be authorized to sign. A rushed handoff can create delays when a warehouse cannot release an order without the correct reference number or identification.
Secure the Load for the Entire Trip
Once loaded, center the weight over the truck's axles as much as possible and secure each major item independently using rated straps attached to proper anchor points. Moving blankets prevent rubbing, but they do not restrain a unit. Do not rely on cardboard, bungee cords, or a stack of lighter boxes to keep a refrigerator in place.
Keep refrigeration equipment upright whenever possible. Do not stack equipment unless the packaging and manufacturer specifically allow it. Ice machines, glass-door merchandisers, and equipment with fragile panels need extra care. If the trip includes rough roads, long distances, or multiple stops, stop periodically to inspect straps and shifting.
At the receiving location, repeat the same discipline. Clear the route, protect floors and door frames, and move slowly. Getting equipment inside without a scratch is better than saving ten minutes by forcing a tight corner.
Plan Pickup Around Installation, Not Just Transport
A successful pickup is only one part of getting equipment operational. Coordinate the move with the electrician, plumber, gas technician, hood contractor, or refrigeration installer when required. Confirm voltage, phase, plug type, gas connection, water line size, drain requirements, ventilation, and local code requirements before the unit arrives.
For a failed refrigerator or freezer replacement, protect your product first. Move inventory to backup cold storage, schedule pickup during a slower window, and do not turn on a transported refrigeration unit until it has rested upright for the required time. For a new restaurant opening, stage equipment in installation order so your crew is not moving the same range or prep table twice.
